Venue Agreement (Interim v3)

This agreement is between Pitchr Ltd (“Pitchr”, “we”, “us”), company number 17295767, registered office Pinfold House, Corkhill Lane, Southwell, NG25 0PR; and you, the venue operator named at sign-up (the “Venue”, “you”), agreeing on behalf of your business. By submitting your venue for review on Pitchr, you agree to the following.

1. What Pitchr does

Pitchr is an online marketplace that lets customers find and book football pitches. You list and price your pitches; customers nearby book and pay through Pitchr. Pitchr is the merchant of record - the customer contracts with and pays Pitchr, and Pitchr pays you. Payments are processed by Stripe.

2. Your pitches, prices and listing

  • You set an hourly price for each pitch (minimum £10.00 per hour) and are responsible for the accuracy of your prices and availability.
  • New venues and material listing changes (photos, description, prices, pitch details) are reviewed by Pitchr before they go live, so customers always see accurate, approved information.
  • You will honour every confirmed booking and provide a safe, playable pitch and the facilities you advertise.

3. What Pitchr charges and what you're paid

  • The customer pays your pitch price plus a fixed £1.50 booking fee. The £1.50 is Pitchr's and is not part of your takings.
  • Pitchr keeps a commission on your pitch price. The standard commission is 10%. If your venue goes live before 1 October 2026, you are a founding venue and your commission is a reduced 5%, kept at 5% for as long as your venue stays continuously listed with Pitchr (see clause 10).
  • What you receive for each completed booking = your pitch price − your commission − the actual card-processing fee Stripe charges on that payment. There are no listing, monthly or upfront fees.

4. Getting paid

  • We pay you monthly, in arrears: at the start of each month we total your completed bookings from the previous month and send a single payout to your bank via Stripe, itemised in your dashboard.
  • You must complete Stripe Connect onboarding (identity and bank details) and accept Stripe's own terms before you can be paid.

5. Cancellations and refunds

  • A customer may cancel for a full refund only more than 24 hours before the slot; within 24 hours they cannot.
  • You (or Pitchr) may cancel a booking at any time, in which case the customer is refunded in full. Pitchr covers the refunded £1.50 and the card-processing cost; a cancelled booking is not paid out to you.

6. Payment disputes and chargebacks

If a customer disputes a card payment and it is lost after you have already been paid for that booking, the amount is recovered from your next payout (shown as a negative item). If a month's total is negative, the shortfall is carried forward and netted against future payouts.

7. Approval, suspension and removal

  • Your venue must be approved by Pitchr before it is searchable. We verify that venues are genuine and their details accurate before going live, and may decline a venue.
  • We may suspend or remove your venue from search and stop new bookings (for example for breach of this agreement, suspected fraud, safety concerns or serious complaints). Bookings already confirmed are honoured unless cancelled under clause 5.

8. Your responsibilities and insurance

You are responsible for the pitch, its condition and on-site safety, for operating lawfully, and for holding any insurance and licences your business needs. You confirm the information you give us is true and that you are entitled to let the pitches. You agree to cover (indemnify) Pitchr for claims arising from your pitch or how you run it. Pitchr is responsible only for providing the booking and payment service.

9. Data protection

Each of us will comply with UK data protection law (UK GDPR / Data Protection Act 2018). We will share with you only the booking information you need to fulfil bookings; you will use customer information solely to fulfil those bookings and not for any other purpose.

10. Length, changes and ending this agreement

  • This agreement starts when you submit your venue and continues until ended. Either of us may end it on 30 days' written notice; you will still honour bookings already confirmed.
  • We may update these terms on reasonable notice. However, if you are a founding venue, your 5% commission rate (clause 3) is fixed and will not be increased for as long as your venue stays continuously listed with Pitchr - this holds even when we replace this interim agreement with the fuller agreement below. If your venue stops being listed and you later list it again, the standard rate then in force applies.
  • This is an interim agreement. We will replace it with a fuller agreement and give you reasonable notice; continuing to use Pitchr after that means you accept the new version. The fuller agreement will preserve your founding 5% rate as set out above.

11. Law

This agreement is governed by the law of England & Wales, and the courts of England & Wales have exclusive jurisdiction.
