Privacy Policy

This policy explains how Pitchr handles your personal data in line with the UK GDPR and the Data Protection Act 2018.

Who we are

The data controller is Pitchr Ltd, a company registered in England and Wales (company number 17295767), registered office Pinfold House, Corkhill Lane, Southwell, NG25 0PR. We are registered with the UK Information Commissioner’s Office (ICO), registration reference ICO-00015045251. For any privacy question, email privacy@pitchrsport.co.uk.

What we collect

  • Account data - your name and email address, and a securely hashed password if you sign up with one.
  • Booking data - the venue, pitch, date and time of your bookings, and their status.
  • Payment references - identifiers from our payment provider (Stripe). We never store your card details; Stripe holds them.
  • Usage data - if you consent to analytics, information about how you use the site (see “Analytics” below).
  • Technical data - limited information needed to operate and secure the service.

How we use it, and our legal bases

  • To take and manage your bookings, payments and refunds - performance of our contract with you.
  • To send transactional emails (confirmations, reminders, cancellations) - performance of our contract.
  • To prevent fraud and keep the service secure - our legitimate interests.
  • To meet our legal and accounting obligations - legal obligation.
  • To understand and improve how the site is used, via analytics - only with your consent, which you can withdraw at any time.

Payments

Payments are processed by Stripe. Pitchr is the merchant of record and stores only Stripe identifiers - never card numbers, which are handled entirely by Stripe.

Analytics

With your consent, we use Google Analytics 4, loaded through Google Tag Manager, to understand how visitors use Pitchr so we can improve it. This sets analytics cookies and shares usage data (such as pages viewed, approximate location derived from your IP address, and a pseudonymous identifier) with Google, who acts as our processor. No analytics runs until you accept on the cookie banner, and you can withdraw your consent at any time. We do not use this data to identify you personally, and we do not sell your data. International transfers

Some of our providers (including Google and Stripe) may process data outside the UK, including in the United States. Where they do, transfers are protected by appropriate safeguards such as the UK International Data Transfer Addendum to the EU Standard Contractual Clauses and the UK extension to the EU–US Data Privacy Framework.

Retention

  • Financial records are retained as required by law and accounting rules, in anonymised form after an erasure request.
  • Raw payment-provider webhook payloads are automatically purged 90 days after receipt, regardless of any erasure request.
  • Analytics data is retained for a limited period in line with our Google Analytics settings.

Your rights

You have the right to access, correct, and erase your personal data, to object to or restrict its processing, to data portability, and to withdraw consent where we rely on it. Erasure is a single action from your account: we anonymise your record and delete your sign-in details and payment-provider customer, while retaining anonymised financial records we are legally required to keep. To exercise any right, use the controls in your account or email privacy@pitchrsport.co.uk. You may also complain to the UK Information Commissioner’s Office (ICO) at ico.org.uk.
