Privacy Policy

This policy explains how Pitchr handles your personal data in line with the UK GDPR and the Data Protection Act 2018.

Who we are

The data controller is Pitchr Ltd, a company registered in England and Wales (company number 17295767), registered office Pinfold House, Corkhill Lane, Southwell, NG25 0PR. We are registered with the UK Information Commissioner’s Office (ICO), registration reference ICO-00015045251. For any privacy question, email privacy@pitchrsport.co.uk.

What we collect

  • Account data - your name and email address, and a securely hashed password if you sign up with one.
  • Booking data - the venue, pitch, date and time of your bookings, and their status.
  • Payment references - identifiers from our payment provider (Stripe). We never store your card details; Stripe holds them.
  • Waiting-list data - if you ask us to tell you when a venue opens near you, your email address and the postcode you searched. No account is created.
  • Usage data - if you consent to analytics, information about how you use the site (see “Analytics” below).
  • Technical data - limited information needed to operate and secure the service.
  • Venue contact data - if you work at or run a venue we approach about listing on Pitchr, your business contact details (see “People we contact about listing their venue” below).

How we use it, and our legal bases

  • To take and manage your bookings, payments and refunds - performance of our contract with you.
  • To send transactional emails (confirmations, reminders, cancellations) - performance of our contract.
  • To email you when a venue joins Pitchr near the postcode you gave us, if you joined our waiting list - your consent. We use it for nothing else, and you can withdraw it at any time by replying to any of those emails or contacting us.
  • To prevent fraud and keep the service secure - our legitimate interests.
  • To meet our legal and accounting obligations - legal obligation.
  • To understand and improve how the site is used, via analytics - only with your consent, which you can withdraw at any time.

People we contact about listing their venue

We contact venues - leisure centres, schools, clubs and football centres - to invite them to list their pitches on Pitchr. To do that we hold business contact details for the people who look after pitch bookings or partnerships.

  • What we hold - your name, job title, work email address and work phone number, the venue or organisation you are associated with, and notes of our conversations with you.
  • Where it comes from - publicly available sources: your venue’s or organisation’s own website and booking pages, public directories of sports facilities, Companies House and the charity register, and professional profiles you have made public. And anything you tell us yourself.
  • Why, and our legal basis - to contact you about listing your venue on Pitchr, which is our legitimate interest in growing the marketplace. We only use details connected to your work role, and only for this purpose.
  • Who sees it - only the Pitchr team, and the providers we use to run email and store documents, acting as our processors. We never sell it.
  • How long we keep it - while we are in conversation with you or your venue lists with us. If you don’t reply or aren’t interested, we delete it within 12 months of our last contact. If you ask us not to contact you, we keep only your name, your venue and that request, so that we don’t contact you again.
  • Your right to object - you can tell us to stop at any time, by replying to any message from us or emailing privacy@pitchrsport.co.uk, and we will. You also have the other rights listed below.

Payments

Payments are processed by Stripe. Pitchr collects payments on behalf of venues and stores only Stripe identifiers - never card numbers, which are handled entirely by Stripe.

Analytics

With your consent, we use Google Analytics 4, loaded through Google Tag Manager, to understand how visitors use Pitchr so we can improve it. This sets analytics cookies and shares usage data (such as pages viewed, approximate location derived from your IP address, and a pseudonymous identifier) with Google, who acts as our processor. No analytics runs until you accept on the cookie banner, and you can withdraw your consent at any time. We do not use this data to identify you personally, and we do not sell your data. International transfers

Some of our providers (including Google and Stripe) may process data outside the UK, including in the United States. Where they do, transfers are protected by appropriate safeguards such as the UK International Data Transfer Addendum to the EU Standard Contractual Clauses and the UK extension to the EU–US Data Privacy Framework.

Retention

  • Financial records are retained as required by law and accounting rules, in anonymised form after an erasure request.
  • Raw payment-provider webhook payloads are automatically purged 90 days after receipt, regardless of any erasure request.
  • Waiting-list sign-ups are kept until you ask us to remove you, or until we no longer expect to open near you.
  • Contact details for venue staff we approach are deleted within 12 months of our last contact if nothing comes of it (see “People we contact about listing their venue”).
  • Analytics data is retained for a limited period in line with our Google Analytics settings.

Your rights

You have the right to access, correct, and erase your personal data, to object to or restrict its processing, to data portability, and to withdraw consent where we rely on it. Erasure is a single action from your account: we anonymise your record and delete your sign-in details and payment-provider customer, while retaining anonymised financial records we are legally required to keep. To exercise any right, use the controls in your account or email privacy@pitchrsport.co.uk. You may also complain to the UK Information Commissioner’s Office (ICO) at ico.org.uk.
